Parts.

Track every part from needed to installed, including back-orders, wrong or damaged parts, returns, cores and warranty-supplied parts.

Parts are where two-visit jobs stall. PartsDue tracks each part on its job and keeps a shop-wide list, so you always know what to order, what is late and what has to go back.

Add a part

  1. On the job, click Add part in the Parts card.
  2. Fill in Part number and Description. You need at least one of them.
  3. Set Qty, Your cost and Supplier.
  4. Price to customer fills itself in from your cost plus your parts markup. Type over it if you want a different price.
  5. Click Add part.

The part starts as Needed and the job moves to Waiting for parts.

The normal path

  1. Needed. Click Mark ordered. Choose Supplied by: Us (we order it) or The warranty company. Add the Supplier, Order number and Expected date. Click Mark ordered.
  2. Ordered. When it shows up, click Arrived. Leave Email the customer that the parts are here ticked if you want them told. The email only goes out once every part on the job has arrived.
  3. Arrived. The next step becomes "Parts are in: book the return visit".
  4. Installed. Parts become installed when the technician closes the repair visit with Fixed it. See Closing a visit.

An ordered part that passes its expected date shows a Late flag.

When things go wrong

Click the ... button next to any part for more choices.

Back-ordered

For an ordered part the supplier has delayed.

  1. Choose Back-ordered.
  2. Pick the New expected date.
  3. Leave Email the customer about the delay ticked so they hear it from you first.
  4. Click Save.

The part shows a Back-ordered flag, and the job's next step shows the new date.

Wrong or damaged

For an ordered or arrived part that can't be used.

  1. Choose Wrong or damaged.
  2. Pick Wrong part, Damaged or Faulty (dead on arrival).
  3. Add the Return authorization (RMA) number if the supplier gave you one.
  4. Click Save.

Three things happen. The bad part is marked Returned and gets a Send back flag. A replacement with the same number and price is added to the job as Needed, marked "(replacement)". The job goes back to Waiting for parts.

Returns

When you ship the bad part back, choose Sent back to the supplier. The flag changes to Awaiting credit. When the supplier credits you, choose Credit received and it leaves the returns list.

Cores

Some parts carry a core charge until you return the old part. Choose Edit part and fill in Core charge. The part shows Core due. When the old part goes back, choose Core returned.

Edit or remove

Edit part lets you change the part number, description, Supplied by, supplier, order number, expected date, qty, Your cost, Price to customer and Core charge. Supplied by here also offers The customer. Office staff can also choose Remove part for a part added by mistake.

Parts supplied by the warranty company

Set Supplied by to The warranty company when the home warranty or manufacturer ships the part. The part shows "from warranty co." and the customer's page says it was ordered from the warranty company. These parts are left out of the claim amount PartsDue works out for you. See Warranty claims.

The Parts page

Office staff can open Parts in the menu to see every part across all jobs. The tabs are:

  • To act on. Needed, ordered and arrived parts.
  • Needed, Ordered, Late and Arrived.
  • Returns and cores. Parts to send back, parts waiting for credit, and cores due.
  • Installed.

Click any part to open its job. The dashboard also shows Parts to act on, with arrived parts first.

What customers see

The customer page lists their open parts in plain words, like "Ordered from Marcone, expected Thu, Nov 5", "Delayed by the supplier, now expected" a new date, or "Here and ready to fit". Costs are never shown to customers.
