Technicians and your team.

Add office staff and technicians, what each role can do, and how technicians work from their phone, even with no signal.

PartsDue has no per-user fees. Add everyone who works on your jobs.

Add a team member

You need to be a WordPress administrator to add people.

  1. Go to Team and click Add member.
  2. Enter their Name and Email.
  3. Choose the Role: Technician or Office.
  4. Click Add member.

They get an email from WordPress with a link to set their own password. Each email address can only have one account.

Office or technician

Office staff see everything: the dashboard, all jobs, schedule, parts, warranty claims, estimates and invoices, customers, team and settings.

A few things stay with the WordPress administrator only: the Stripe keys, the business email, the office alert email, and downloading your data.

Technicians see three screens: My day, Jobs and Schedule. They only see jobs they are assigned to, either as the job's technician or on one of its visits. When a technician logs in, they go straight to My day.

What technicians can do on a job

  • Call, email or map the customer.
  • Edit the appliance, add the model and serial and snap the model sticker.
  • Write the diagnosis and add photos.
  • Add parts, mark them ordered or arrived, and use the part menu for back-orders and wrong parts.
  • Record a payment and add notes.
  • Close visits with What happened? and get the customer's sign-off. See Closing a visit.

With Technicians can write estimates, get the customer's signed approval and book the return visit on site ticked in Settings, they can also:

  • Click Estimate to write an estimate.
  • Use Customer approves here for a finger signature and the deposit.
  • Book visit for the return trip.

Technicians can't create invoices, change the job stage by hand, close a job as paid or cancelled, or delete jobs and parts.

Hide your costs

Tick Hide what parts cost you from technicians to keep your part costs private. Technicians still see the price to the customer.

My day

My day shows today's date, how many visits there are, and a card for each. Below, Coming up lists the next six days.

Each card shows the time window, customer, appliance, model, problem and access notes. The buttons are:

  • Call to phone the customer.
  • Map to open the address in Google Maps.
  • On my way, for today's visits.

Tap the card to open the job.

On my way

  1. Tap On my way.
  2. Choose Arriving in about 15, 30, 45, 60 or 90 minutes.
  3. Tap Send.

The customer gets an email with your first name, your profile photo and when you should arrive. The button then reads Sent, send again. If the customer has no email, you are told to call them instead.

Using PartsDue on a phone

There is no app to install. Technicians log in to your website in their phone's browser and open PartsDue. Save it to the home screen for one-tap access. The menu sits at the bottom of the screen.

Photos come straight from the phone camera. They are shrunk before upload to save data.

No signal? Keep working

Basements and rural calls often have no signal. PartsDue keeps going:

  • Screens you opened before, like My day and your jobs, still show from the copy saved on the phone. You see "No signal: showing the copy saved on this phone".
  • Changes like notes, diagnosis, parts, payments and closing a visit are saved on the phone. A bar shows how many changes are waiting to send.
  • When the signal is back, they send by themselves. You see "Everything saved offline has been sent".
  • Diagnosis text you typed but didn't save is kept on the phone until you press Save.

Photos need a signal. On a weak signal PartsDue tries the upload again a few times.

Use the same phone until the waiting changes have sent.
