When a technician finishes a visit, PartsDue asks one question: What happened? The answer moves the job the right way, so nothing gets stuck.
Open the question
There are two ways:
- On the job, click Done next to the visit under Visits.
- Or click Finish visit in the Next step box at the top of the job.
Pick the outcome
Choose one of four answers:
- Fixed it. Repair finished on this visit.
- Needs parts. Diagnosed, parts to order.
- Customer declined. Service call only.
- Nobody home. Visit missed, book again.
You can add Notes (optional) about what you found or did. They go into the job's activity log.
Click Save.
Fixed it
If the job has parts that are needed, ordered or arrived, you see Parts installed on this visit with a tick box for each. Untick any part you didn't fit.
- If every part is now installed, the job moves to Repaired and you see "Nice work. Job marked repaired."
- If some parts are still open, the job stays in Waiting for parts, because the repair isn't finished.
Fixed it with a part from the van? Add that part to the job first, with Add part, so it shows on the invoice. The form reminds you of this when there are no parts on the job.
Needs parts
The job moves to Waiting for parts and the Add a part form opens straight away so you can enter what is needed. If you close it without adding a part, the job sits in Diagnosed.
Next, write the estimate so the customer can approve it before you order. See Estimates and approval.
Customer declined
The customer didn't want the repair. The job moves to Repaired and the next step becomes "Repair declined: invoice the service call". When you click Create invoice, the invoice has one line, Service call and diagnosis, at the job's service call fee. If they already paid the fee, it is credited and the invoice shows nothing left to pay.
Declined jobs don't count against your first-visit fix rate.
Nobody home
The visit is marked missed and shows Nobody home. A job that was new or scheduled stays Scheduled, and a job further along keeps its stage. For office staff the Book a visit form opens right away so you can rebook.
Customer sign-off
For Fixed it and Customer declined, the form shows Customer sign-off (optional).
- Hand the phone to the customer.
- They type their name in Customer name.
- They sign in the box with a finger. On a computer they can sign with the mouse. Clear starts over.
- Click Save.
The signature is saved privately with the visit. On the job, the visit then shows Signed by and the customer's name. Click it to see the signature. The activity log records "Work signed off by" the customer.
Sign-off is optional. If the box is left empty, the visit closes without it.
What you see afterwards
Each closed visit shows its outcome on the job: Fixed, Needs parts, Declined or Nobody home. The Next step box updates to tell you what to do now, for example "Send the invoice" or "Order the parts".
Good to know
- Technicians can close visits on the jobs they are assigned to. They can't move a job to Paid or Cancelled.
- If the phone has no signal, the outcome is saved on the phone and sent when the signal is back. The signature and parts ticks go with it. See Technicians.
