What the numbers on your dashboard mean, and how to download all of your data as spreadsheets or one complete file.

The dashboard

Open Dashboard from the menu. It is the first screen office staff see.

Warnings and to-dos

  • Emails are not going out. Shows when an email failed. See Emails.

Four numbers at the top:

  • Collected this month. All payments recorded since the 1st, cash, check and card.
  • Unpaid invoices. What customers still owe on invoices that are not paid. The line below shows how much of it is overdue, or "Nothing overdue".

Your data, any time

Everything you put into PartsDue is yours. You can download it whenever you like and take it anywhere.

Only the WordPress administrator can download business data.

  1. Go to Settings then Your data.
  2. Click a button to download that list as a spreadsheet (CSV): - Customers - Appliances - Jobs - Visits - Parts - Estimates and invoices - Estimate and invoice lines (every price) - Payments
  3. Or click Download everything (one file) for a complete backup in one file. It also includes the activity log of every job.

The CSV files open in Excel, Google Sheets and Numbers. They are named with the date, like repair-customers-2026-11-03.csv.

The private links to customer pages are left out of every download, because they work like passwords.

Using your data elsewhere

  • QuickBooks Online. Under For QuickBooks Online, download QuickBooks customers and QuickBooks invoices. In QuickBooks, open Sales, then Customers or Invoices, and choose Import. Every line comes across, the service call credit is a minus line, and each total matches PartsDue. Payments are not imported: record them in QuickBooks as you receive them. There is no live sync yet.
  • Switching software. The downloads have every customer, appliance, job and price, so you are never locked in.
  • Backups. PartsDue keeps its data in your WordPress database, so your normal website backups include it.

If you remove the plugin

Deleting PartsDue does not delete your data. It stays in your WordPress database until you remove it yourself. Install the plugin again and everything is back.
